Beacon Wealth Advisors, LLC is seeking a friendly, organized, and detail-oriented Client Service & Marketing Coordinator to join our growing team in McHenry, Illinois. This position plays an integral role in supporting our advisors, delivering exceptional service to our clients, and coordinating the firm's administrative and marketing initiatives.

Marketing & Client Communications

  • Coordinate client communications, including newsletters, marketing campaigns, milestone letters, birthday and holiday correspondence, and firm announcements.
  • Prepare marketing materials and submit them for compliance review, incorporating any required revisions.
  • Coordinate client events, including invitations, RSVPs, catering, meeting logistics, and attendee materials.
  • Maintain marketing materials, office stationery, brochures, and promotional supplies while ensuring consistent firm branding.
Client Service & Operations
  • Process client deposits, transfers, withdrawals, and other account service requests.
  • Prepare and manage client paperwork using DocuSign and the firm's forms library.
  • Coordinate account maintenance with Schwab, Harbour Investments, and other custodians, including address changes, beneficiary updates, statement requests, Required Minimum Distributions (RMDs), and other client service requests.
  • Prepare meeting materials and supporting documentation for advisor appointments.
  • Monitor submitted paperwork, follow up on outstanding items, and help resolve account processing issues.
  • Maintain accurate client records within the firm's CRM and document management systems.
  • Provide day-to-day administrative support to advisors and assist with special projects as needed.
Qualifications
  • Previous experience in client service, administrative support, office administration, financial services, banking, insurance, or a related professional environment preferred.
  • Experience with DocuSign, Canva, CRM software is a plus.
  • Strong organizational and time-management skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Positive attitude and a genuine desire to provide outstanding customer service.
  • Ability to manage multiple priorities while maintaining accuracy and professionalism.
  • Proficiency with Microsoft Office (Outlook, Word, and Excel).
  • Ability to maintain confidentiality and handle sensitive client information with discretion.
